Position Title: Chief of Staff / Project Manager
Location: Good Shepherd Community Clinic, Inc. 
Reports to: Chief Executive Officer (CEO)

Position Overview: 
The Project Manager / Chief of Staff will play a critical role in driving strategic initiatives, streamlining internal processes, and supporting the CEO in achieving organizational goals. This position acts as a bridge between the executive team and various departments, facilitating communication, tracking progress, and managing key projects to ensure alignment with the GSCC’s mission to provide high-quality, accessible healthcare. 

Key Responsibilities: 
Project Management and Strategic Planning 
  • Lead and oversee organizational projects from conception through completion, ensuring adherence to timelines, budgets, and quality standards.
  • Support the CEO in developing and executing strategic plans, prioritizing initiatives that align with the GSCC’s mission and goals.
  • Monitor and report on key performance indicators (KPIs), working with department heads to ensure alignment with annual strategic objectives.
  • Develop, implement, and maintain project management tools and templates to streamline processes and optimize efficiency.
Operational Oversight and Process Improvement
  •  Collaborate with cross-functional teams to identify operational bottlenecks and implement solutions for continuous improvement.
  • Coordinate regular status meetings with the executive team and department leaders to facilitate communication, problem-solving, and alignment across all functions.
  • Facilitate the execution of the CEO’s initiatives and directives, ensuring actions and outcomes are tracked and followed up on.
Executive Support and Communication
  •  Serve as a trusted advisor to the CEO, providing support in decision-making and prioritizing activities for maximum impact.
  • Manage the CEO’s agenda, assisting in preparation for meetings, presentations, and internal or external communications.
  • Prepare executive summaries, reports, and presentations, distilling complex information into actionable insights for the CEO and Board of Directors.
Board and Stakeholder Engagement
  •  Coordinate and support Board meetings, preparing materials, agenda items, and follow-up documentation as needed.
  • Act as a liaison between the executive team, Board members, and key stakeholders, ensuring clear, timely communication and fostering positive relationships.
  • Support community engagement and partnership initiatives as needed to advance organizational goals.
Risk Management and Compliance
  •  Partner with the Compliance and Quality team to monitor and address organizational risks, ensuring adherence to all regulatory and grant requirements.
  • Oversee compliance with internal policies and procedures, implementing changes or improvements to promote efficiency and mitigate risk.
Leadership Development and Workforce Support
  •  Assist in the development and implementation of leadership training programs for emerging leaders and middle management.
  • Work closely with Human Resources and other departments to enhance employee engagement and support professional development initiatives.
Qualifications:
  •  Education: Bachelor’s degree required, Master’s degree in Healthcare Administration, Public Health, Business, or a related field preferred.
  • Experience: Minimum of 5 years in project management, healthcare administration, or a related field; prior experience in an FQHC or healthcare setting strongly preferred.
  • Skills:
    •  Strong project management skills, including proficiency with project management tools (e.g., Monday, Asana, Microsoft Project, etc.).
    • Excellent communication and interpersonal skills, with the ability to build relationships at all organizational levels.
    • Proven ability to drive strategic initiatives, manage multiple projects, and meet deadlines.
    • High level of discretion, judgment, and the ability to handle confidential information.
    • Strong analytical and problem-solving abilities, with a focus on results and attention to detail.
    • Leadership skills, with demonstrated experience in coaching and developing teams.
Work Environment:
This position operates in a fast-paced environment that requires adaptability and a proactive approach. Occasional evening or weekend work may be required, especially during critical project phases or organizational events.
 
 
Compensation: $65,000.00 - $75,000.00 per year
